Why your letterhead is not enough
An apostille is a single stamp that confirms a signature or a seal is genuine. It says nothing about the goods, the value or the terms of sale. Italy is in the Hague Convention, so member states take that one stamp in place of the old embassy chain.
When clients ask how to apostille a Commercial Invoice, the first thing we look at is the signature. Your own letterhead is not a public mark. Something official has to reach the sheet first, whether a notary certifies the signing or a body certifies the paper.
The Rome desk for trade papers
You apostille a Commercial Invoice in Rome at the Prefettura (Prefecture), the state office for the province. It handles administrative papers. If a notary certified the signature, the sheet becomes a notarial act, and the Procura della Repubblica, the prosecutor's office at the court, stamps it instead.
Get the desk right the first time, because the wrong queue costs days you may not have. To apostille a Commercial Invoice in Italy, match the paper to the office: plain trade papers to the Prefettura, notarised ones to the Procura. Send us a scan and we point at the right door.
What you pay, and how the clock runs
The apostille cost for a Commercial Invoice in Rome is set by the state, not by us. It is €16 per document as a tax stamp, and some papers are exempt. Read that as per sheet of paper. A run of invoices for one shipment carries a stamp on each, so a batch adds up.
Timing is the part that bites in trade. The office works to its own queue and no clerk will name a date. Your goods may be sitting at a port, so tell us the sailing or landing day up front. We would rather start early than argue with a customs desk.
Who asks for a stamped invoice
A customs officer abroad asks when a load needs proof of value and origin. A bank asks when a letter of credit lists the invoice among the papers to be shown. A buyer's ministry may ask before it grants an import licence. In each case a desk reads an Italian signature it cannot place on its own.
Language, and the cost of a late fix
Before you pay for the legalisation of a Commercial Invoice in Rome, ask the buyer which language the paper must be in. The stamp does not translate a line. If a sworn translation is wanted, our translator signs an asseverazione, the oath of accuracy, in front of a court, and the court stamps the bundle.
One last trap catches people out. If you fix a figure or a line after the stamp is on, that sheet is dead and a fresh one starts over. So agree the goods, the terms and the names with your buyer before you file.
